JBS Releases a Service to Support Productivity Improvements Based on Data Analysis of Microsoft 365 Copilot Users’ Work Styles and Behavior

Japan Business Systems, Inc. (Headquarters: Minato Ward, Tokyo; President: Yukihiro Makita; hereinafter, “JBS,” securities code: 5036) today launched Microsoft 365 Copilot Diagnostics with Microsoft Viva Insights (hereinafter, “Copilot Diagnosis Service”), a service that analyzes data on employees’ work styles and their behavior using Microsoft 365 Copilot (hereinafter referred to as “Copilot”), and provides suggestions for improving work efficiency and productivity. In the United States, data shows that the majority of companies listed in the Fortune 500, a ranking of the top 500 companies in the United States by revenue published annually by Fortune magazine, have already introduced generative AI. However, it is said that only about 30% of Japanese companies with more than 1,000 employees have introduced or tested generative AI.*1 JBS believes that the use of generative AI is an urgent issue for Japanese industry, which is lagging behind in this respect, and that it is imperative to clarify the actual situation of its use and take measures accordingly. This service will enable companies to consider response measures based on the actual situation by analyzing behavioral data accumulated in Microsoft 365 and support the reliable and efficient use of Copilot and productivity improvements.

This service utilizes Microsoft Viva Insights*2 and it is provided in three steps.

  • Acquires data on work styles using Copilot.
  • Reports data analysis and visualization on four themes developed by JBS.
  • Provides measurement methodologies in a workshop format.

To ensure that generative AI can be used to improve productivity in a rapidly changing business environment, we support customers in continually measuring and diagnosing their own usage even after the service is provided.

  • Background to Service Development

    In recent years, due to intensifying competition both domestically and internationally, there has been a demand for more efficient and productive work styles that produce results. Against this backdrop, there has been growing attention on the use of generative AI as a means of revolutionizing business processes, and we have received an increasing number of inquiries from companies considering the introduction of Microsoft’s Copilot. On the other hand, when introducing a new tool, companies are careful to consider how much productivity and business efficiency they can expect from their investment. The same is true for Copilot, and JBS believes that companies that have introduced it need to regularly check how users are using it and continue to support it until it becomes established (= fully adopted). This service visualizes “Copilot usage status” using data and provides hints for thinking about how to use Copilot to secure business benefits. The data clearly shows the adoption status, making it possible to smoothly take measures to maximize cost-effectiveness.

    Analysis and Visualization Report

    The data obtained through Microsoft Viva Insights is analyzed, and 22 reports are provided based on four themes developed by JBS, which visualize usage and provide suggestions for further adoption. The four themes are as follows:
    • Degree of Copilot utilization
      We measure the usage of Copilot for each Office app and for each usage case.
    • Business operations optimization by using Copilot
      The use of Copilot is expected to be effective in reducing collaborative work such as meetings and communications as well as securing focus time. These can be analyzed from multiple angles using reports from multiple different perspectives.
    • Utilization of time created
      Based on the evaluation shown in the business operations optimization report in 2, we suggest the time that can be used for more highly productive work. Furthermore, we present specific suggestions on what kind of work can be done to increase productivity by using the freed up time.
    • Fostering a Copilot culture
      We identify innovators and internal influencers who are actively using Copilot. Influencers then disseminate examples of innovators’ use of Copilot, and we conduct analysis to establish and embed use of Copilot within the company.

  • The data from Microsoft Viva Insights is imported and updated into Power BI*3 reports for analysis created and provided by this service, and knowledge is provided in the form of workshops so that companies can continue to analyze the data in-house. By continually measuring and analyzing the usage of Copilot, companies can grasp which measures are successful and which areas need improvement, and work to ensure that measures are firmly and effectively embedded.
