Japan Business Systems, Inc.   • This service is an application that runs on web browsers. It provides approximately 150 types of prompt templates that are optimized to maximize the accuracy of responses when using Copilot for Microsoft 365, ChatGPT, and other generative AI for work purposes. Through our support for the implementation of "Copilot for Microsoft 365," we have realized that there are many users who attempt to use generative AI but because they are not yet accustomed to writing prompts, they are unable to gain the expected responses and give up on using it. By using this Generative AI Prompt Assistant, even generative AI beginners will be able to gain highly accurate outputs easily, without having to learn about prompting or spending extensive time to think about it, which will lead to the widespread use of generative AI in organizations and improvements in productivity.

    Using Appropriate Prompts is the Key to Establishing Generative AI Use

    In order to gain the results a user expects from generative AI, creating appropriate and clear prompts is extremely important. Even with simple prompts such as “summarize this” or “translate this,” you will get a certain level of response, but generative AI does not automatically pick up on the output image that a user has in mind. Just like when giving a person some kind of instruction, if the contents of the instruction are insufficient, you will not get the expected response.

    At JBS, we have begun to understand the fact that there is a certain number of users who may have once started to use generative AI through Copilot for Microsoft 365 usage establishment activities or through customer support, but then stop using it because they could not get the results they expected, and that establishment does not happen at the anticipated speed. From such experiences, we have become certain that the key to establishing generative AI usage is in early learning about prompts.

    The Necessity of Prompts in Gaining Highly Accurate Responses

    We know that if right from the start, users could gain highly accurate responses using appropriate prompts, the establishment of generative AI usage would advance smoothly. That said, creating prompts that contain a sufficient amount of necessary information is no easy matter, so much so that a professional called a “prompt engineer” is now required. In order to organize the necessary information and give the system instructions with certainty using words alone, it is essential to learn the necessary “etiquette.” However, in reality, users do not have the time to think about prompts for each and every task as they carry out their daily work.

    The Generative AI Prompt Assistant is the answer to this problem. In Copilot NAVI (a service that compiles videos and materials as hints for establishing the use of Copilot for Microsoft 365), which JBS released in November 2023, there are sample prompts provided, but in order for as many customers as possible to use prompts to gain highly accurate responses at an early stage, we have created sample prompts as a separate service. This service condenses the knowledge we have gained from providing services up to now and further enhances the contents.

    Approximately 150 Prompt Templates Prepared and Categorized by Usage

    The approximately 150 prompt templates provided in the Generative AI Prompt Assistant are organized by objective such as “compile documents, summarize, create ideas;” by job type such as “HR, accounting, information systems department;” and by application such as “Microsoft Teams or Excel,” which run Copilot for Microsoft 365. By simply copying and pasting the prompts generated using these templates into Copilot for Microsoft 365 or other generative AI and running it, users will be able to gain highly accurate responses, greatly reducing the time spent on their task.
